Event Coordination

Custom proposal

A good fit when: Your organization has completed most of the planning and secured its primary venue, vendors, speakers, exhibitors, or participants, but needs professional support organizing the final logistics and carrying out the event.

Your proposal may include

  • Six weeks of active coordination
  • A final-logistics meeting and venue walkthrough
  • Review of event plans and creation of a detailed timeline and run of show
  • Final confirmations with vendors and key event participants
  • Coordination of vendors, speakers, exhibitors, registration flow, and event activities
  • Up to eight consecutive hours of onsite coordination

Event Planning

Custom proposal

A good fit when: Your organization wants professional support developing and organizing the event, from creating the overall plan and securing the necessary people and services through managing the logistics and event day.

Your proposal may include

  • Up to nine months of planning support
  • Up to six planning meetings, plus a final venue walkthrough
  • Event goals, working budget, planning checklist, and deadlines
  • Venue research and vendor sourcing
  • Registration, speaker, sponsor, exhibitor, staffing, and attendee-logistics planning
  • Program, schedule, food and beverage, design, layout, audiovisual, and contingency planning
  • Everything included in Event Coordination, including up to eight consecutive hours of onsite support

Final pricing reflects the event’s purpose, size, complexity, selected responsibilities, staffing, travel, schedule, and agreed needs.

Starting at $1,100

A good fit when: You have completed most of the planning and booked your primary vendors, but want professional help bringing the final details together and managing the event day.

What we handle

  • Four weeks of active coordination
  • A final-planning meeting and venue walkthrough, when needed
  • Review of your plans and creation of a detailed event-day timeline
  • Final coordination and confirmation with your booked vendors
  • Up to six consecutive hours of event-day coordination, including limited setup and gathering of small, client-provided décor

Celebration Planning

Starting at $2,800

A good fit when: You want professional support developing and organizing your celebration, from shaping the initial plan and selecting vendors through coordinating the details and event day.

What we handle

  • Up to six months of planning support
  • Up to four planning meetings of up to 60 minutes each
  • An organized celebration plan and working budget based on your priorities
  • Venue research, with up to three suitable options and attendance at up to two tours
  • Vendor research and proposal coordination for the agreed vendor categories
  • Design direction, guest-list and seating support, and floor-plan and rental planning
  • All Celebration Coordination services, including up to six consecutive hours of event-day coordination

Starting at $1,800

A good fit when: You have completed most of the planning and booked your primary vendors, but want professional support bringing the final details together and managing the wedding day.

What we handle

  • Eight weeks of active coordination
  • A final-planning meeting and venue walkthrough
  • Review of your plans and creation of a detailed wedding-day timeline
  • Final vendor coordination and leadership of one ceremony rehearsal lasting up to 90 minutes
  • Up to 10 consecutive hours of wedding-day coordination, including limited setup and gathering of personal décor

Partial Planning + Coordination

Starting at $3,200

A good fit when: You have begun planning and made some major decisions, but need hands-on help completing specific unfinished areas along with professional coordination for the rehearsal and wedding day.

What we handle

  • Six months of active planning support
  • Hands-on assistance in up to three selected planning areas
  • A written scope defining the selected responsibilities, deliverables, and limits
  • Up to four planning meetings of up to 60 minutes each
  • Vendor research, communication, and planning deliverables within the selected areas
  • All Wedding Coordination services, including the ceremony rehearsal and up to 10 consecutive hours of wedding-day coordination

Full Planning + Coordination

Starting at $5,500

A good fit when: You want comprehensive professional support developing and organizing your wedding, from establishing the budget, priorities, and overall direction through coordinating the vendors, details, and wedding day.

What we handle

  • Up to 12 months of planning support
  • Up to 10 planning meetings of up to 60 minutes each
  • Comprehensive ceremony and reception planning with development of a working budget
  • Attendance at up to six priority vendor or venue appointments, including up to three venue tours
  • Vendor research and proposal coordination for the agreed vendor categories
  • A cohesive wedding-design direction with up to two consolidated revision rounds
  • Guest-list, RSVP, seating, floor-plan, rental, lodging, and transportation planning as included in the agreed plan
  • All Wedding Coordination services, including the ceremony rehearsal and up to 10 consecutive hours of wedding-day coordination
